A summary of the terms and conditions applicable to each Registration Fee Option is set out in the table below, followed by a more detailed explanation of the terms and conditions of each Option.

All timing referred to in this Option is based on Colombia time. References to the program’s start date refer to earliest start date that a volunteer is registered for. Any exceptions to the terms and conditions of this Option are considered on a case-by-case basis at the discretion of IVHQ.
Cancellations and requests for program fee refunds or changes to your program must be made via an email to your IVHQ Program Manager and are considered at IVHQ’s discretion, clearly detailing the reasons for the cancellation, refund or change.
Once a volunteer’s refund request has been received by IVHQ, they will be notified via email. If no notification is received within three working days, the assumption should be made that the request has not been received and the volunteer is advised to contact his or her IVHQ Program Manager again.
Registration Fee
Registration fees are non-refundable and registration fee credits are not available.
Change of Dates and Duration
Once registered and before they begin their program, a volunteer is entitled to change their program, program duration and/or start date, subject to a change fee to cover administrative and transaction costs in addition to the additional fees arising from the change. Change requests made fourteen days or more before the volunteer’s start date will incur a late change fee of $50 per change. Change requests made less than fourteen days of the program’s start date will incur a late change fee of $150.
If a volunteer wishes to change their start date, the registration fee is only valid for new start dates within twelve months of the earliest start date they have been registered for.
Program Fee
If a volunteer cancels thirty or more days before their program start date, requests for program fee refunds, considered at IVHQ’s discretion, will incur a cancellation fee of $50. If a volunteer cancels less than thirty days before their program start date, requests for program fee refunds will incur a cancellation fee of $150.

If a volunteer cancels sixty days or more before their program start date, they can request a refund of 50% of the registration fee.
If a volunteer cancels between fifty-nine and thirty days before their program’s start date, no refund of registration fees is available. However, the volunteer may request for a registration fee credit to be held in their name for future use on any IVHQ program, subject to program availability, for a period of twelve months from their earliest registered start date.
If a volunteer cancels less than thirty days before their program’s start date, no refund of registration fees is available. A registration fee credit may be held in their name for twelve months from their earliest registered start date, subject to availability, provided program fees have been paid in full by their due date.
Volunteers who apply and cancel within the timeframes mentioned above are held to the same conditions in relation to their eligibility for a refund.
If a volunteer registers and requests a verification letter, they cannot then receive a refund for their registration fee should they withdraw from the program.
